• District Setup Tasks 
    • Identify Supplemental Attendance Type Codes in DPT table to be used only for ELOP. See District Settings.
  • Program Eligibility 
    • Create Student PGM-194 record when parent consents. Should be at district-level (SC=0). Eligibility Start Date must be populated (PGM.ESD) 
    • New field added for PGM=194 to hold Total ELOP Days (PGM.TED) 


Pro-Tip: Parent Data Confirmation can also be used to capture consent and drive PGM-194 creation. Configure an AUT authorization code for the ELOP permission slip — when a parent selects "Allow," it sets AUT.ST = 1 for that code and records AUT.DT as the date of response. Run a query filtered to that AUT code and AUT.ST = 1 to isolate consenting students, then create the PGM-194 records using one of two methods:

Mass Add Student Related Data: The quickest option when every student can share the same Eligibility Start Date (e.g., the program's start-of-year date). Use the AUT query to KEEP consenting students first. Adds PGM-194 with SC = 0 and one shared ESD across the whole group in a single pass.

Import Data into Aeries: Use this instead when each student's Eligibility Start Date should reflect their own AUT.DT (the date their parent actually responded). Export each consenting student's Student ID and AUT.DT from the query above, then map ESD to AUT.DT on import so every student's PGM-194 record carries its own eligibility date. Unlike Mass Add, Import Data into Aeries applies each row's values independently.


  • Recording ELOP Sessions completed by students 
    • Option 1 – Using Supplemental Attendance feature for all ELOP functions for tracking unique days of participation (even for 5 minutes) 
    • Option 2 – Using 3rd Party data to import directly into Supplemental Attendance student assignments and session data-ATA and ATD. See Import Supplemental Attendance Data into Aeries.
    • Option 3 – Using 3rd party data to import/update new field PGM.TED with total unique session days 
  • State Reporting 
    • Handled by new LEAP extract.  See ELOP Data Management
      • All PGM-194 records to be extracted, reporting total days of participation by student (may be zero) 
      • New LEAP Extract process inside CALPADS Extracts 
      • Optional button to populate/update PGM.TED from ATD records for ELOP  
        • Note this will only affect students who have ATD records related to ELOP, it will not overwrite existing PGM.TED values when ATD is not used.
        • This button is not necessary for districts who are not using ATD records for ELOP, and are entering the total ELOP days manually into PGM-194 records.
      • Button to create LEAP extract for CALPADS EOY submission.
