Navigate to Student Data > Enrollment History


The page displays a student's enrollment records including entry/leave dates, program enrollment changes, and other enrollment information. 


The page has two tabs:

  • Enrollment History - Displays a student's enrollment in the district over multiple years, updated when records are added or modified on the Attendance Enrollment page.
  • Other District Enrollment - Displays a student's prior enrollments in other districts, as entered during the Online Enrollment process or manually during enrollment.


Existing records can be modified from this page.


Any manual changes to records on this page are overwritten when the Fix ENR Process is run from the Administrative Functions page. When an enrollment record is updated, the corresponding Demographic (STU) and Attendance (ATT) fields must also be updated.

Configuration

  • All external districts and schools must be added to the CHI table on Course History Institutions. This allows the search function on the Other District Enrollment tab to retrieve the district/school information.

Steps

Enrollment History Tab

  1. Click the Edit icon to update an existing record.
    • School Year (ENR.YR) - The school year in which the student was enrolled at the school (display only). 
    • School (ENR.SC) - The school where the student was enrolled during the school year (display only)
      (Texas PEIMS/TSDS E0782 and E1027) (CALPADS 01.06).
    • Stu# (ENR.SN) - The student's local ID, specific to the school (display only).
    • Trk (ENR.TR) - The track in which the student was enrolled.
    • Pgm(ENR.PR) - (California only) The attendance program in which the student was enrolled. This must match the Program field on Attendance Enrollment (ATT.PR). 
    • Elig (ENR.PR) - (Texas only) The student's ADA eligibility status as reflected in the district's attendance accounting records (TSDS PEIMS E0787) (C059).
    • AttPrg1/2 (ENR.AP1, ENR.AP2) - Average Daily Attendance eligibility status of the student as reflected in the district attendance accounting records, and based on the level of membership (i.e., hours served).
    • Grd (ENR.GR) - The student’s grade level in a particular school year
      (Texas PEIMS/TSDS E0017 (C050) and E1517 (DC063)).
    • Teacher (ENR.TN, ENR.TE) - For elementary schools, the local number and last name of the teacher to whom the student was assigned during the enrollment period. The field is blank for secondary and flex schools.
    • Enter Date (ENR.ED) - The date on which the student entered the school/campus (Texas PEIMS E1069).
    • Leave Date (ENR.LD) - The date on which the student exited the school/campus (Texas PEIMS E1044).
    • Entry Type (ENR.ET) - (Texas only) Not currently used.
    • Exit Reason (ENR.ER) - The reason the student exited the school/campus (Texas PEIMS E1001) (C162).
    • Next School (ENR.NS) - The school the student will be attending in the upcoming year.
    • Rptg School (ENR.HS) (California only) The Reporting Home School as populated on the Demographics page (Student Data 2 tab) field (STU.HS). See When should a Home Reporting School option be used
    • Campus of Accountability (ENR.HS) - (Texas only) The campus number to which a student’s attendance and/or leaver accountability data are attributed for campus accountability purposes (Texas PEIMS/TSDS E0782 and E1027).
    • Intr Code (ENR.IT) - (California only) The inter/intra-district transfer code. If the IntDist field (STU.IT) on Demographics is populated, the value is pulled into ATT.IT and ENR.IT (CALPADS 01.30).
    • Attr Code (ENR.IT) - (Texas only) Indicates characteristics about the student's enrollment that must be reported to the state (Texas PEIMS E1000) (C161).
    • Flex-Att (ENR.FA) - (Texas only) Indicates the student's participation in a a flexible attendance program (OFSDP). Not currently used.
    • District of Residence (ENR.ITD/STU.ITD) The district that is responsible for the student. 
    • NPS SpEd (ENR.NPS) - (California only) The school of attendance for Nonpublic School (NPS) students, which should be populated according to CASEMIS standards. If a school has CDS number 0000001 in LOC, values in CSE.SS will be pulled into the ATT and ENR tables. This relates to special education (CALPADS 03.22).
  2. Click the Save icon.

  3. If student and attendance data has been updated and ENR is not matching, run the Fix ENR Process from the Administrative Functions page.

  4. To print a report of the data on the page, click Print.


Other District Enrollment Tab

  1. Click Add New Record, or click the Edit icon to update an existing record.
    • District/School
      • District(ODE.DNM)
        • Click in the field to open the search box. 
        • In the search field, begin typing the name of the district, then select the district from the list of results. 
        • The district must already be added on the Course History Institutions page. 
      • School (ODE.SNM)
        • Click in the field to open the search box. 
        • In the search field, begin typing the name of the school, then select the school from the list of results. 
        • The school must already be added on the Course History Institutions page. 
    • Address - The address fields are populated according to the data entered on the Course History Institutionspage for the selected school. Update the information if needed.

      • City (ODE.CY)
      • State (ODE.ST)
      • Zip (ODE.ZC) 
      • Country (ODE.CU)
    • Contact Information
      • Name (ODE.CNM) - The full name of the contact at the school.
      • Phone (ODE.TL) - The phone number of the contact at the school. 
      • Fax (ODE.FX) - The fax number for the contact at the school. 
    • Duration
      • Enter Date (ODE.ED) - The date the student entered the school.
      • Leave Date (ODE.LD) - The date the student exited the school.
      • Grade-Range (ODE.EG, ODE.LG) - The student's beginning and ending grade levels at the school.
    • Other
      • Expelled (ODE.EXP) - Whether the student was expelled from the school.
      • Special Ed (ODE.SPE) - Whether the student participated in special education at the school.
      • 504 Plan (ODE.FOF) - Whether the student had a 504 plan at the school.
    • Comment (ODE.C0) - Any other comments about the student's enrollment at the school.
  2. Click the Save icon.
