Texas districts are required to attach documentation to a student’s TREx Student Record export file if the student has ever had a Behavioral Threat Assessment completed. When students transfer between districts, the receiving district is required to maintain any Behavioral Threat Assessment records that are received from the student’s previous district(s) of enrollment. The Behavioral Threat Assessment records must follow the student to each district of enrollment until the student graduates and must be attached to the student’s TREx Student Record file regardless of the school year in which it occurred.
1. Update Code Table
- Add code BTA to Update Code Table - this is the code that the TREx export file process will look for in order to extract the indicator into the TREx Student Record file:
Select Table INV and Field CD
Select + Add New Record
- Add Code BTA with Description Behavioral Threat Assessment
2. Interventions
- On the Interventions page select +Add New Record to enter an intervention record for a student who has a Behavioral Threat Assessment completed in the district, or has enrolled with an existing assessment from a previous district.
- In the Code field (INV.CD), use the drop-down menu to select Behavioral Threat Assessment
- A Start Date (INV.DD) and End Date (INV.ED) may be entered
- Add the School of Incident (INV.SCL) to identify the school that completed the assessment and select Save
Note: School of Incident (INV.SCL) uses data from Course History Institutions (CHI) to allow the user to search for the desired school
- Users may enter comments in the Comments field (INV.CO) and upload any supporting documents to the Documents tab.
Note: All fields highlighted in green indicate the fields that should be populated (Code (INV.CO), Start Date (INV.DD), End Date (INV.ED) & School of Incident (INV.SCL))
3. TREx Student Record Export
On the Student Demographics page, click the Export button and select the TREx Student Record option to create the export file.
If the student has an Intervention record with code BTA, regardless of the school year in which it occurred, the TREx Student Record export file will extract an indicator of '1' in the file.
