Student Data > Demographics
The Demographics page provides maintenance functions for student demographic information, such as birthdate, age, contact information, etc., along with some basic enrollment and language programs. The student photo can also be added or updated. Students can be added, imported, updated, or transferred using this page, and certain reports can be generated. See also Student Data Management. |
Prerequisites
- A secure SSL connection is required for adding or updating a student photo using the Demographics page.
- The Calendar and Terms must be set up for the school before enrolling a student.

- On Define Required Fields the school or district specifies which fields are required. See Define Required Fields.
- On Update Code Table, status codes used to populate the Status field (STU.TG) must be defined by the district, such as Pre-Enrolled, Inactive, etc. See Update Code Table.
- On District Settings:
- Under Student Settings, select Assign new student ID numbers from district database only, not from school if the district-level student ID (STU.ID) is automatically assigned. Or, clear the field if the district-level student ID is manually assigned.
- Under Student Settings, select Use STU.TG to determine if a student is inactive at last school when transferring records if a student does not need a leaver record in Attendance before before transferring to another school because the Status field (STU.TG) is used instead to determine if the student is Inactive. Or, clear the field if the leaver record is required in Attendance in order to transfer a student.
- On School Settings:
- (California only) Indicate whether the following testing status is displayed on the Demographics page. The option must be set at the school level for each school.

- Physical Fitness Testing
- California High School Exit Exam (CAHSEE)

Add a student
The Demographics page can be used to add a brand new student who was never previously enrolled in the district. There are several situations in which students are enrolled:
IMPORTANT: Before adding a new student record from the Demographics page, you must be sure the student does not have an enrollment record in the district. Before proceeding, ensure that the student does not have an inactive record, a pre-enrollment record, or a record at a different campus, in order to prevent duplicate records. Returning students should be reactivated from the Inactive School or copied from a prior year. See Texas - Enrollment Process. A new student should be linked to any siblings enrolled in the district. Although it is important to add all necessary information for each student, it is essential that certain fields required for state reporting are entered accurately at the time of enrollment. |
- Click Add.
A window opens prompting you to search all schools in the district for an existing record.
NOTE: Users with district/admin access can search all schools in the district. Otherwise, users can only search within schools they have permission to. - Under Search Criteria, type all or part of the student's name, birthdate, and/or student ID and click Search.
- If a matching student record is found, transfer the student. See below.
- If no existing student record is found, click Student Not Found.
- You are prompted to search for a sibling.
- Click Yes to continue.
- If the student was never enrolled in the district, determine if the student has any siblings enrolled in the district.
- Under Sibling Search Criteria, type all or part of the sibling's name and/or other demographic data and click Search.
- If a matching sibling record is found, click the row of the sibling and click Use Sibling.
When a sibling is found, the common data such can be copied to the new student, such as address, telephone, parent/guardians, and contacts. Siblings can be automatically linked together via a Family Key. See Sibling Management (Family Keys). - If no sibling record is found, click Student Not Found.
The Demographics page opens with a new record. If a sibling was found, the page is populated with data from the sibling. Otherwise the record is blank.
- If a matching sibling record is found, click the row of the sibling and click Use Sibling.
- Under Sibling Search Criteria, type all or part of the sibling's name and/or other demographic data and click Search.
Transfer a student who was previously enrolled at another school in the district
If a matching student record was found in the district-wide search results (see above), the student should be transferred to the current school. |
- Click the row of the student to be transferred.
NOTE: This step is affected by the Use STU.TG to determine if a student is inactive at last school when transferring records option on District Settings. See District Settings (District Rules). - Various warning messages may be displayed to notify you of potential issues.
Select the check box to confirm that you wish to continue. - Click Transfer Student.
The Demographics page opens with the fields enabled. - Ensure the Status field is blank, which indicates Active status.
- Update any other fields with data that has changed, including:
- Grade (STU.GR)
- Parent/Guardian - Name (STU.PG)
- Track (STU.TR) (Texas only)
- ADA Elig (STU.SP) (Texas only)

- Click Save.
- An Attendance Error is displayed in red indicating that the student needs to be enrolled in Attendance.
- Before proceeding, confirm that all data in the fields is correct. Click Save.
- Click Update Attendance.
The Attendance Enrollment Form section is displayed. - In the Attendance Enrollment Form section, set the Effective Date to the first day of the student's attendance.
- Click OK.
The student is enrolled in Attendance.
- An Attendance Error is displayed in red indicating that the student needs to be enrolled in Attendance.
Add or update student demographic information
- On the Demographics page click Change. The fields are enabled.
- Enter all required data (shaded blue), including state reporting fields (shaded green, depending on district setting), any other available information. Required fields are specified on Define Required Fields.
Some fields on the Demographics page are typically not entered at the time of enrollment, but they are listed here for informational purposes.Stu# The student's local ID, specific to the school (display only) and automatically assigned (STU.SN) Last Name, First Name, Middle Name The student’s preferred name (STU.LN, STU.LN, STU.LN) Legal Last Name, Legal First Name, Legal Middle Name Entered when legal name is different than preferred name; allows student to go by preferred name everywhere and only by legal name when necessary (e.g., state reporting, transcripts) (STU.LLN, STU.LLN, STU.LLN)
The legal name is shielded by default and a user must have appropriate permission to view or edit the data.
Characters with an accent are allowed. Periods are not allowed.
For users with permission to view legal name and gender, the Show/Hide Legal Name button is displayed at the bottom of the page when in Change mode.
Suffix The district-defined addition to the student's name if applicable (e.g., Junior, III, etc.) (STU.SF) Gender The student’s preferred gender, from a district-defined list (STU.GN) Legal Gender Entered if the student's legal gender is different than the preferred gender, allowing the student to be identified by preferred gender everywhere and only use legal gender when necessary (e.g., state reporting, transcripts) (STU.LGN)
The legal gender is shielded by default and a user must have appropriate permission to view or edit the data.
For users with permission to view legal name and gender, the Show/Hide Legal Name button is displayed at the bottom of the page when in Change mode.
Grd The student's current grade level (STU.GR) Age The student's calculated age based on birthdate, which cannot be manually updated (AGE (STU.BD.YEARS)) Birthdate Date on which the student was born (STU.BD) Stu ID# (Display only) The student's district ID, which is specific to the district and automatically assigned (STU.ID)
If Assign ID Number from district database only, not from school is selected on District Options, the ID is automatically assigned accordingly.
Parents/students need this ID to access the Aeries Parent/Student Portal.Last Name Alias, First Name Alias, Middle Name Alias The student's day-to-day nickname, like Bob instead of Robert, which is usually displayed alongside the regular name (STU.LNA, STU.FNA, STU.MNA) Birth Verif Whether the student's birthdate has been verified by external documentation, such as a birth certificate (STU.VBD) Status Whether the student's status is active, inactive, pre-enrolled, etc. (STU.TG)

The full name of the student's primary parent/guardian (STU.PG)

This must match the Program field on Attendance Enrollment (ATT.PR).

US School Age 3 & Up The date of the student's first entry into a US school for Title III Immigrant students and students receiving special education services who are at least 3 years old (LAC.US3) US School K-12 The date the student first enrolled in a K-12 public or private school in the United States and Puerto Rico, including any home schooling in grades K-12 (LAC.USS) Dist Enter Date The date on which the student entered the district (STU.DD) School Enter Date (California only) The date on which the student entered the school (STU.ED) Schl Leave Date The date on which the student exited the school (STU.LD) Leaver/Mover Reason (Texas only) The reason the student exited the campus (STU.LVR) 9th Grade Entry Year The year the student started 9th grade in the district, which is calculated based on the (Enrollment) Enter Grade but can be changed for retained students (STU.INE) - Students will follow the high school graduation plan that was in place when they began 9th grade.
- Cohort is determined by the year the student entered 9th grade. See below.
- (Texas only) Districts are required to develop and review a personal graduation plan for a middle school/junior high student who did not perform satisfactorily on an assessment instrument administered under Subchapter B, Chapter 39; or who is not likely to receive a high school diploma before the fifth school year following the student’s enrollment in 9th grade (TEC §28.0212)). This is tracked in TREx via the PERSONAL-GRADUATION-PLAN element.
Cohort The student’s expected graduation year, as determined by the year the student entered 9th grade (STU.CHT)
The field is calculated, read-only, and based on 9th Grade Entry Year.
Teacher (Elementary only) The primary teacher assigned to the student (STU.CU) Counselor (Secondary only) The counselor assigned to the student (STU.CNS) Locker The locker number assigned to the student (STU.LK)

Students with the same Family Key (unless zero) are considered “siblings” in Aeries. The field is required for students born outside the US, and only displayed if Birth Country is not US or PR.

If configured properly, the Unique ID Lookup feature is available on Student Data 2 (E1523). The unique ID is displayed if it exists. These students never actually have enrollment information for the new school year.
A valid reason should be used when the student's enrollment has been confirmed at a new institution. For students who take summer school in order to graduate, the date is the student's last day of summer school. Specify the one-character passing grade where applicable. - Click Show/Hide Legal Name to view and edit Legal Name info.
The button is only displayed when in Change mode, and only for users with permission to the Legal Student Information (LSI) table. See Student Legal Information - Overview. - Click Save.
Or, click Cancel to revert to previously saved data.
Add or update the student photo
A photo can be added for an individual student from the Demographics page, or can be added for a group of students using the Mass Add Pictures feature. See Mass Add Pictures Overview. From the Demographics page the photo file can be uploaded from the local PC, or you can use the camera feature to take a photo of the student. You must be logged into a school to update the photo; photos cannot be updated at the district level. The maximum file size is 100K. |
- When no photo is available, the student initials are displayed.
- To upload a file or take a photo, click the Edit icon.
- The Edit Student Picture window opens allowing you to upload a file or take a photo.
- To upload a file, click Browse to locate the file on your local PC.
Click Save. The photo is updated. - To take a photo of the student, click the Camera icon.
The Live Video window opens, which uses your PC web camera to display a live view.- Position the person so that they are framed within the camera view.
- Click Take Picture. The photo is displayed.
- Click Save to save the image, or click Retake Picture to re-take the photo.
Once saved, window closes and the photo is updated.
- Position the person so that they are framed within the camera view.
- To remove a photo, click the Edit icon, then click Remove.
You are prompted to confirm that you wish to remove the photo. Click OK.
The image is removed and the space is blank.
Import students from Aeries Online Enrollment
You must be logged into a school.
- Click Import.
- The Aeries Online Enrollment - Student List page opens allowing you to select a student who enrolled via Aeries Online Enrollment. See Aeries Online Enrollment Importing Students.
(Texas Only) Export students to the Texas Records Exchange (TREx) system
- Click Export.
- A pop-up window opens prompting you to select whether to export a file formatted for a transcript or student record.
- Click TREx AAR - Transcript to download an XML file containing the student transcript record which can be imported to the TREx system via a TEAL account. See Texas - TREx Export.
- Click TREx Student Record to downloaded an XML file containing the student record which can be imported to the TREx system via a TEAL account. See Texas - TREx Export.
Print a screenshot of the student's Demographics page
- Click Quick Print to print a screenshot of the Demographics page. The output is formatted as it appears on the screen.
- If viewing the Student Data 2 tab, the screenshot contains data on that tab. Otherwise the screenshot displays Student Data 1 data.
Delete a student record
A student record should only be deleted if entered by mistake.

- Click Delete to delete a student record.
- You are prompted to confirm that you wish to delete the record. Click OK.
The student record is deleted.
Print student reports
- Click Reports.
- A pop-up window opens allowing you to select the report to print.
- Click the report you wish to generate.
- Withdrawal Form - Used during the checkout process when a student is leaving the school in order to record grades, attendance, sign-off notes, and other information.
- Student Data - A report of student demographics and enrollment information, with an optional student photo.
- Emergency Card - A report of student demographics data and photo, plus parent/guardian, emergency contacts, sibling, and medical information.
- Student Envelope - Prints address information formatted for an envelope according to specified settings.
- (School level only) Student Summons Call Slip - Prints a call slip (office pass) for a student.
- The Report Options page opens allowing you to make selections for the report.

(Texas Only) Designate a student as a leaver or mover
- Click Operations.
A window opens allowing you to select the operation. - Click Mark Student as a Leaver/Mover.
- A window opens allowing you to make selections for the process.
- Enter data for the student and click OK.
