Interchange (Field Mapping & Rules)
Overview
The TSDS Early Childhood Data System (ECDS) (PK and KG) Submissions are part of the Core Collection Submissions required by the Texas Education Agency (TEA). The purpose of the ECDS Submission is to report data that schools and parents can use to evaluate the preparation success of KG and PK students and compare results within region. LEAs must collect and report information needed to inform parents, school administrators, the public, statewide stakeholders, community, and policymakers about the quality of early childhood education and help direct resources in an informed manner.
The reporting of public PK program data is mandatory for all LEAs that administer a PK program, whether or not the LEA administers one or more of the assessments included in the Commissioner’s List of Approved Prekindergarten Assessment Instruments. LEAs that administer one or more of the approved assessments are required to collect and report the Beginning of Year (BOY) and/or End of Year (EOY) assessment results data to TEA (provided by assessment vendor).
Aeries provides tools to extract the appropriate data for the ECDS Submissions from the district's Student Information System (SIS) database. The extract programs create the files that can be submitted to TEA.
There are two ECDS Submissions: Prekindergarten and Kindergarten. The submissions are required for public PK and KG schools, and optional for private PK schools.

AssessmentMetadata and StudentAssessment interchanges are supplied by the assessment vendor.
Security ↑
The following permissions must be set in Security for users who will be managing PEIMS submissions.

Additionally, users will need appropriate permission to view or update the individual tables that are used for maintaining data fields used in Texas state reporting.
Configuration & Prior Steps ↑
- Any local codes used for ECDS fields must be added from Update Code Table. The local codes will need to be translated to TSDS codes, described below.
Steps ↑
Navigate to School Info > Imports and Exports > Texas State Reporting
For ECDS subm, the Snapshot Date and End of School Start Window fields should be used to specify the testing date range. All students tested during this date range will be extracted.
- The End of School Start Window should be set to the beginning date of the testing window.
- The Snapshot Date should be set to the ending date of the testing window.
If you modified the Snapshot Date or End of School Start Window field, use the Save button below the TSDS/PEIMS Options tab to save the change.
Before creating extracts, verify the settings on the TSDS/PEIMS Options, Code Translations, and Schools tab.
TSDS/PEIMS Options Tab
Expand the TSDS/PEIMS Options tab to set various options before creating extracts. See Texas State Reporting - Options Tab.
Code Translations Tab
Expand the Code Translations tab to map certain custom/local codes to the required PEIMS/TSDS codes. See Texas State Reporting - Code Translations Tab.
For the ECDS-PK Submission, the following Code Sets should be reviewed and updated if needed:
- Free and Reduced (FRE.CD)
- Language Fluency (STU.LF)
- Pre School Type (LOC.PKT)
- PK Curricula (MST.CT)
- Program Evaluation Type (MST.ET)
- School Programs (SPR.CD)
- Semester Seq Type (CRS.CSQ)
- Special Programs (PGM.CD)
- Student Race (STU.RC1)
For the ECDS-KG Submission, the following Code Sets should be reviewed and updated if needed:
- Language Fluency (STU.LF)
- Semester Seq Type (CRS.CSQ)
- Student Race (STU.RC1)
WARNING: If the TSDS/PEIMS Description (right column) is left blank, the code will be extracted as blank. It is recommended that you do not click Add Local Codes unless all COD values will be translated. Clicking Add Local Codes is optional and may not be needed if the district does not need to translate many codes. In this case, rows can be added individually.
Schools Tab
Expand the Schools tab to select the schools to include when extracting data. See Texas State Reporting - Schools Tab.
You can click PreK & K to easily select only PK and KG schools.
ECDS Tab
Expand the ECDS tab to create the XML extract files for the ECDS submission..
- Under Template Selection, click Pre-Kindergarten or Kindergarten.
- The files required for the ECDS Submission are automatically selected. You can modify the selections.
- Click Create Selected ECDS Files.
Once created, the XML files are listed individually in the File Download section and can be downloaded individually by clicking the Download icon.
The default name for the individual files is District_Campus_Collection_TimeStamp_Interchange.xml, where:
- District is the six-digit county-district number
- Campus is the three-digit campus ID (or 000 if district wide)
- Collection is the nine-character collection (ending school year & submission)
- TimeStamp is the 12-digit date-time-stamp when the interchange was created (YYYYMMDDHHMM)
- Interchange is the name of the interchange created
