Navigate to School Info > Imports and Exports > State Testing Export Files


LEA’s will need to identify the type of ELPAC test a student is taking along with any Domain Exemptions or Remote Testing Video Permission that a student may qualify for. They can do this by selecting the appropriate Test Assignment Settings options in the Test Settings page for the ELPAC test and then creating the ELPAC Test Assignment file and importing it into TOMS, or they can update one student at a time directly in the TOMS system.

The ELPAC Student Test Assignment option allows districts to create a file which assigns students domain exemptions, or allows for Remote Testing Video Permission. The data is saved into an Excel spreadsheet provided by ELPAC. Once populated, this spreadsheet can be imported using TOMS (Test Operations Management System).


The ELPAC_test_assignment_upload-template_2023-24.xlsx file must be downloaded from the ELPAC website (https://www.elpac.org/test-administration/instructions/) and saved on the computer that will create the extract.


The ELPAC Test Assignment extract allows records to be limited by a selected date, Special Ed (CSE) students only, English Learners only, or students limited by a Keep/Skip query. Inactive students can also be included.

On the State Testing Export Files screen enter a date in the Include active settings with a start date on or before this date field. The date is used to determine which Test Assignment Settings records will be included in the extract. To be included in the extract the Test Settings Start Date (STS.SD) must be less than or equal to the entered date and the Test Settings End Date (STS.ED) must either be greater than the entered date or must be Null.  If you wish to limit the extracted records to certain students click on the Aeries QUERY button and run a query to limit to the desired students. Checkboxes to Include Inactive Students, Limit to Special Ed and to Limit to English Learners are also available to further limit the students in the extract file.


The ELPAC_test_assignment_upload-template_2023-24.xlsx file must be downloaded from the ELPAC website (https://www.elpac.org/test-administration/instructions/) and saved on the computer that will create the extract.


NOTE: The ELPAC_test_assignment_upload-template_2023-24.xlsx file must be the original file downloaded from the ELPAC website, with no student information in it. 

 

Once all selections have been made click on the Download File button. A file called ELPACTestAssignment20yymmdd.csv will be created (where yymmdd are the year, month and day the file was created for).

Open the file to view the extracted records.

These records need to be copied from the file and pasted into the ELPAC_test_assignment_upload-template_2023-24.xlsx template file. Copy the results by selecting the records, right click and select Copy.


Open up the ELPAC_test_assignment_upload-template_2023-24.xlsx template file provided by ELPAC, right-click in the A2 cell of the template worksheet and select Paste. Be sure to leave the first row intact. This row must not be modified.

The template file will now have the provided header record followed by the student records. Save the file. Import this file into TOMS.
