Overview

Navigate to School Info > Functions > Administrative Functions.


The page facilitates several important system tasks and processes as described below.


All functions must be run at the district level.

As functions are run, the Last Run date is updated.


USYSGCOD (Fixed Codes) Table  

The process populates the USYSGCOD table with the current fixed codes definitions. 


This process should be run every time fixed codes are added or updated in an Aeries revision. Revision Notes are available from the Aeries support website and will describe the release of any additions or updates to fixed codes.


Database Cleanup  

The process permanently purges records that have been tagged for deletion (DEL =1) for over one month, including:

  • Delete STU records with Last Name field containing "_" (temporary new STU records not completed)
  • Del-Tagging Invalid IDN Record (LN="_")
  • Delete ENR records with ID of zero


When completed:

  • A report is generated that provides of the count of records deleted from each table.  
  • The completion displayed in LOG and DPT is updated.


Fix CAR Duplicates

This process searches Course Attendance for and deletes any duplicate records for a student in the following fields:  

  • School Code (CAR.SC)
  • Student Number (CAR.SN)
  • District Course ID (CAR.CN)
  • Period (CAR.PD)
  • Block (CAR.BL)
  • Section (CAR.SE)
  • Start Date (CAR.DS)


If duplicate records are found, a message is displayed which provides the number of duplicates that will be DEL tagged in this process. 

Click OK to continue, and records will be deleted. Otherwise, click Cancel.


A message is displayed when the process is complete. Click OK.



Launch Fix ENR Process  


This process compares every student’s attendance against the Enrollment History (ENR) table to verify that the ENR data is correct. Running this function also collects the prior year ENR records if available in a previous year database with the identical database suffix. 


It is recommended that this report be run before running various functions such as P1, P2, Pre-ID’s etc.


NOTE: This is a Long Running Process; an email will be sent upon completion. 


Force Cascading DEL Tags  


This process scans all tables to verify records not tagged for deletion, and determines if the parent record in another table is tagged for deletion. If the parent record is tagged for deletion, the un-tagged child record is also be tagged for deletion. 

The process has three options:

  • Preview Report shows the tables and records that will be affected by the process.
  • Force Cascading DEL tags with Report generates a report upon completion that displays the affected tables and a count of Del-tagged records in each table.
  • Force Cascading DEL tags without Report runs the process without generating a report. An email is sent upon completion.


Pull ENR From Another Database  


This process deletes current Enrollment History (ENR) records for the selected years and then copies over ENR records from the selected database. Missing Student ID Number (IDN) records are also copied over if necessary, but no IDN records are deleted. 


This process requires proper configuration of connections to other database years.

Proceed with caution.


  1. Select Pull ENR from Another Database to view view additional options. 

    The available years to pull from are defined by the contents of the AeriesNetConfigurations.config file. 
     
  2. Select a year. The data from the target database's ENR table is compared to the ENR table of the currently logged in database. 
  3. A check box is displayed for each year that the target database contains ENR records. Select a year to view the following counts:
    • Existing ENR records that will be removed from the logged in database 
    • ENR records will be added to the logged in database from the target database


      Select the Select All checkbox to view counts for all years.

      IMPORTANT: When using the Select All option, be sure verify that replacing the current year ENR records is the desired outcome.

  4. Click Update. A final count of the changes is displayed. Click OK to perform the update. 
  5. An email is sent when the process is complete.

   

Pull Attendance History from Another Database  


This process deletes current Attendance History Codes (AHC), Attendance History Detail (AHD), Attendance History Summary (AHS) records for the selected years and then copies over AHC, AHD, AHS records from the selected database. Missing Student ID Number (IDN) records are also copied over if necessary, but no IDN records are deleted. This process requires proper configuration of connections to other database years. Proceed with caution.


  1. Select Pull Attendance History from Another Database to view view additional options. 

    The available years to pull from are defined by the contents of the AeriesNetConfigurations.config file.


     
  2. Select a year. The data from the target database's AHC, AHD, and AHS tables is compared to the AHC, AHD, and AHS tables of the currently logged in database. 
  3. A check box is displayed for each year that the target database contains AHC, AHD, or AHS records. Select a year to view the following counts:
    • Existing AHC, AHD, and AHS records that will be removed from the logged in database 
    • AHC, AHD, and AHS records will be added to the logged in database from the target database

Mass Add Discipline Incident IDs  


This process finds any existing discipline incidents for the district that do not currently have an Incident ID and populates the Incident ID according to the Next Incident ID field on the School Options (district).
