Important system tasks and processes are located on the Administrative Functions page. Filter Pages by "Administrative Functions" or navigate to School Info > Functions > Administrative Functions.
An admin type role will automatically have the permissions to run these functions. A user type role will need Administer permissions to the Administrative Functions security area to use the page.
All functions on this page will be run at the District level, even if the user is currently logged into a specific school.
As Functions are run, the Last Run date will appear:
Update USYSGCOD (Fixed Codes) Table: This process will populate the USYSGCOD table with the current fixed codes definitions. When fixed codes are added or updated in Aeries revisions, this update should be run. Revision Notes, available from the Aeries support website, will describe the release of any additions or updates to fixed codes.
Database Cleanup: The Database Cleanup will permanently purge records that have been tagged for deletion (DEL =1) for over one month, including:
After completion, there will be a report of the count of records deleted from each table. Also, completion will be shown in LOG and DPT will be updated.
Fix CAR Duplicates: This process will look at the Course Attendance for each student searching for any duplicate records based on the following fields: SC, SN, CN, PD, BL, SE, DS. If duplicate records are found, a confirmation message will display to let you know the number of duplicates that will be DEL tagged in this process. Selecting "OK" will initiate the FIX process and records will be deleted. Selecting "Cancel" will allow you to cancel the process. When this process completes, a pop-up message will display to let you know the process has completed.
Launch Fix ENR Process: This process will compare EVERY student’s attendance against the ENR table (Enrollment History) to verify that the ENR data is correct. Running this function will also collect the previous year’s ENR records (if available in a previous year’s database with the identical database suffix). It is highly suggested that this report be run before various functions such as P1, P2, Pre-ID’s etc. This is a Long Running Process and will send an email upon completion.
Force Cascading DEL tags: The Force Cascading DEL Tags function, has three options.
Preview Report - Show the tables and records that will be affected by the process.
Force Cascading DEL tags with Report: The process will scan all tables to verify records not tagged for deletion and see if the parent record in another table has been tagged for deletion. If the parent record has been tagged for deletion, the un-tagged, child record will also be tagged for deletion. Upon completion, a Report will be generated showing the affected Tables and a count of Records Del-tagged in each table.
Force Cascading DEL tags without Report: This will run the process, but no report will be generated. You will receive an email upon completion.
Pull ENR From Another Database:
Note: When using the Select All option on this form, please be sure replacing the current year's ENR is what is truly desired.
After marking the desired years, select the update button. A final tally of the changes will display. Select ok on this form to perform the update.
A summarizing email will be sent when the process is complete.
Pull Attendance History from Another Database:

Mass Add Discipline Incident IDs: On the Administrative Functions page the Mass Add Discipline Incident IDs function will find any existing Discipline Incidents for the district that do NOT currently have an Incident ID and add it. There is a field in the School Options (LOC) page that holds the Next Incident ID for the district.
