Students, parents or office staff may enter service learning hours for students. Hours entered by a parent are recorded as Parent hours, which count only up to the area's Maximum Parent Contributed Hours (see Service Learning Setup and Requirements).

Students Entering Hours

When a student logs into the Parent/Student Portal, Service Learning and Service Learning Organizations display in the menu on the left.

The Service Learning Organizations page will display approved organizations. The student can search for approved organizations by name or by using the By City option.

The Service Learning Organizations page is for browsing only. To log hours, the student opens the Service Learning page and adds a recipient, either by choosing a pre-approved organization or by clicking Organization Not Listed.  The Service Learning page has two tabs: Service Learning Recipient and Service Learning Log.

The top of the page shows the Service Learning Coordinator and an hours table for each Service Learning Area assigned to the student (9th–12th and Total), with Required and Complete rows. When parent hours are allowed for the area, the table shows Student Completed, Parent Completed and Total Completed instead. A note under each table says whether hours over the requirement count toward the total. The organizations added for the student are listed on the left.

To add an approved organization or a new recipient, the student can click the Add New Service Learning Recipient button at the bottom of the page. The Pre-Approved Organizations window opens. Choose a Service Learning Area to filter the list, or type in the box and click Search.

The student can select an organization and click Use Selected, or click the Organization Not Listed button to add a new recipient organization.  The following message will display.

After the student clicks the OK button the following pop up will display.  The student can enter the new recipient organization and click OK.

The following page will display for the student to complete with the recipient organization's information and enter a note in the Service Reflection field.  The student clicks the Save button to complete the record. A new organization must be approved before hours can be logged for it; see Service Learning Organizations and Approval.

The Service Learning Log tab displays a log of the student’s service learning entries with the status.  The student can add a new entry, edit an existing entry or upload a document to an existing entry.  The organizations are listed on the left side of the form.  When selected, the student’s activity displays in the Service Learning Log section, including the Area each entry counts toward. Use the Upload button on an entry to attach proof, such as a signed form; attached files appear under Uploaded Files. If the selected organization is still pending or was denied, the log can't be added to, and the message "Selected Organization Is Pending Approval. Log records can not be added until this organization is approved." or "Selected Organization Has Been Denied. Log records can not be added." displays.

To add a new service learning log entry, the student can select the organization from the list on the left side of the page to highlight it and click the Add New Log Entry button. Enter the Date, choose the Area, and enter the Start Time, End Time, Service Description, Supervisor and Phone. The Time (hours) is calculated from the start and end times. The Area list shows only the areas that are linked to the organization and assigned to the student.

The student clicks the Save Record button. The entry displays with a Status of Pending until a Service Learning Administrator approves or denies it. Approved and denied entries can no longer be edited by the student; for a denied entry, the reason is shown in a Comment row. Students can add or edit entries only for recipients added at their current grade level.

Office Staff Entering Hours

Office staff use the same page (Service Learning > Service Learning). Staff with Administer permission to Service Learning Data and Log (SLL) also see a Status drop-down when adding or editing an entry, and Approve and Deny buttons on each pending entry. Approving or denying with these buttons emails the student and parents. Staff also see an Hour Type (Student or Parent) field.

Secondly, an individual student may be responsible for one or more service learning requirement areas. At the student level, this can be adjusted by clicking Select Service Learning Areas. The Select Service Learning Areas button displays only for users with Update permission to Service Learning Hours (SLH). Grant this permission to office staff, not to portal groups.
