This article details what tables a user should check when a student has overlapping Course Attendance (CAR) records listed on the Course Attendance Audit report.


Environment

  • Flex Scheduling Schools


Cause

Student is expected to be in two or more places at the same date/time according to scheduling

  • Some audit findings will affect every student in a Section, some audit findings only affect a particular student
  • It is imperative to read through the report to look for patterns


Resolution

Check each of the following areas for possible Course Attendance (CAR) Overlaps

  • Classes (SEC) - Student schedule - ensure the student does not have more than one class in the same Flex Period where the Course Attendance Start/End Date(s) overlap

  • Flex Periods - ensure there are NO overlaps of Flex Period Start/End Times where the Flex Periods would meet on the same day
    • Also ensure there are no AM times where there should be PM times or PM times where there should be AM times

Example: Period 9 starts before Period 8 ends


  • Custom Bell Schedules- ensure there are NO overlaps of Flex Period Start and End Times.
    • Also ensure there are no AM times where there should be PM times or PM times where there should be AM times

Example: Bell Schedule includes 12:20 AM instead of 12:20 PM making a class over 12 hours long


  • Class Calendars - ensure there are no meeting dates with the same meeting time that overlap according to the Flex Periods


Example: Flex Periods 1 and 2 cannot both be at 8:30 AM to 9:30 AM, unless either NO student in the entire school has a Period 1 and Period 2 class OR the school uses a blocked schedule where Periods 1 and 2 meet on different days

Example: Period 5 can't span 12:20 PM to 1:20 PM when Period 6 spans 1:15 PM to 2:15 PM UNLESS no student in the entire school has both a Period 4 and Period 5 class that meet on the same day(s)

Example: AM/PM is mixed up - Period 1 Flex Period or Custom Bell Schedule states 8:00 AM to 9:00 PM - this will cause an overlap in every period after Period 1 because it is now a 13 hour class instead of an hour long class.


Example: 

Sections 100 

Flex Period 1

Meets at 8 AM on MW and every other Friday

 

Section 200 

Flex Period 2

Meets at 8 AM on TTh and every other Friday


Because the Flex Periods are at the same time, ensure they never meet on the SAME Fridays on the Class Calendar, UNLESS a custom Bell Schedule is attached to that day
