School districts may implement a district policy allowing non-enrolled students who reside within the district's attendance boundaries to participate in certain UIL activities during the school year. These students and the UIL activities in which they participated will be reported at the end of the current school year in the PEIMS Summer data submission according to state reporting requirements.
It is the district’s responsibility to have school board-approved local policy in place allowing non-enrolled students residing within their district boundaries to participate in UIL activities. The district must also ensure that the non-enrolled student meets the eligibility requirements for participation as stated in TEC 33.0832:
Student is a home-schooled student
Student has not been enrolled in public school during the current school year
1. Add the student to Aeries
Use ADA Eligibility (STU.SP) code 0
2. Add a new record on the Activities and Awards page for the student
- Select +Add New Record
- Enter a date that is within the current school year. This date will be used to determine extraction for PEIMS Summer data submission
Note: If the date entered is not within the current school year (within first and last days of school), the activity will not be extracted for PEIMS Summer submission.
- In the Type field (ACT.TY) select code 7-Non-Enrolled Student UIL Activity
- When Type 7 is selected, the Code field (ACT.CD) drop-down list will display the UIL Activity codes from TWEDS code table C234 with a leading character of 'U'. These codes will be in the range U001-U119.
Note: When extracted for PEIMS Summer data reporting, the 'U' will not be included, only the 3-digit code is reported.
- Enter the Start Date (ACT.SD) and End Date (ACT.ED) to indicate the date range of the student’s participation in the activity.
- Start and End dates for different UIL activities in the same school year may overlap
Note: Non-enrolled students may be reported as participating in more that one UIL activity in the current school year.
3. Select the Print button to generate a report that lists the student's UIL activities
Note: If the date entered is not within the current school year (within first and last days of school), the activity will not be extracted for PEIMS Summer submission.
