Report Card History on Mobile App
Overview
The Report Card History feature allows the district to save a permanent, electronic copy of every report card a student receives across multiple schools and school years. The report card is saved in English. For students whose Correspondence Language is other than English, the report card is saved in that language also. The parent/guardian name and mailing address are omitted.
Report card history can be generated as soon as report cards are generated, which streamlines the workflow.
Districts using Secondary Grade Reporting (GRD) have the option to flag Report Cards with any mark lower than 70 and send notifications to parents.
The report card history is also accessible to parents and students as downloadable PDF files via Portal and the mobile Portal app.

Configuration ↑
- Navigate to Grade Reporting > Configurations > Grade Reporting Codes and Descriptions
Ensure codes are set up for each correspondence language supported by the district. This ensures report card history is generated in the student Correspondence Languageif other than English.- Select Show Correspondence Language. Additional fields are displayed allowing you to enter code descriptions in other languages.
- Enter descriptions for each supported language and click the Save icon.
- Repeat for the Citizenship/Work Habit Marks, Comment Codes, and Message Codes tabs.
- Select Show Correspondence Language. Additional fields are displayed allowing you to enter code descriptions in other languages.
- To send Parental notifications for unsatisfactory marks, enable the option in District > School Info > School Options.
- The Secondary Grade Reporting(GRD) option must be checked to show the Parent Notifications option. If the District is not using Secondary Grade Reporting, the Parent Notification option will not display.
- The default for this option is 'Off'.
Generate Report Card History ↑
Navigate to Reports > Grade Report Cards
- Before generating report cards, ensure that the marking periods and headings are set correctly, and remove unused headings.
Only the current marking period and the latest marks on the report card are considered. - Generate report cards. See Quick Start Guide for Grade Reporting.
- Immediately after generating report cards, click Generate Report Card History.
- Once the history is generated, an email notification is sent to the user that initiated the process.
View Student Report Card History ↑
Navigate to Student Data > Grades > Report Card History
Portal users navigate to Portal > Grades > Report Card History
Once report card history is generated, it is displayed on the Report Card History page by student, sorted by date, with the most recent records at the top.
When the Parent Notification option is enabled, Report cards with one or more grades lower than 70 are flagged with a Warning icon.
The following fields are displayed:
School | The school that generated the report card (RCH.SCL) |
Year | The academic year when the report card was generated (RCH.YR) |
Term | The heading for the last marking period on the report card when the report card was generated, which reflects the marking period selected as the last mark on the Print Grade Report Cards option (RCH.TM) |
Grade | The student’s grade level at the time the report card was generated. |
Type | The type of report - Grade, Secondary Standards Based Grade, or Standards Based Grade (for elementary report cards) (RCH.TY) |
Report Title | The Title on Report Cards as entered on the Grade Reporting Options page at the time the report card was generated |
Report Card | A link to the PDF document of the report card, both in English and the student's Correspondence Language (if available/applicable) |
Date | The date the report card was generated |
Last Viewed | The date and time a parent last viewed the PDF file (RCH.LVD) |
Last Viewed By | The email address of the parent who last viewed the PDF file (RCH.LVE) |
NOTE: Report Card History records are uniquely identified by the combination of the following:
- Student ID (RCH.ID)
- School (RCH.SCL)
- Academic Year (RCH.YR)
- Term/Marking Period (RCH.TM)
- Report Card Type (RCH.TY)
- Grading Period (RCH.GP).
Therefore, existing records are overwritten when the identifying fields match.
For example, a student can only have one Report Card History record for Screaming Eagle High School, year 2019, Marking Period 4, type Grade Report Card. Only the most recently generated report card matching those values is saved.
Parental Notification of Unsatisfactory Grades ↑
When a Report card is flagged with an unsatisfactory grade (below 70), a notification is sent to the parent via Parent Portal, as well as by email.
- The Notification will appear in the bell in the parent portal.
- From the Notification, the parent can click the message to open the Report Card History page for their student and view the report card.
- The email message provides a link and prompts the parent log on to the Parent Portal. When a parent follows the link and logs on to Parent Portal, they are redirected to the Report Card History page and the PDF file for the report card with the unsatisfactory grade is open.
Parent Acknowledgement of Unsatisfactory Grades ↑
Navigate to Student Data > Grades > Report Card History
When the parent views the PDF file or navigates to the Report Card History page to view the student's report card containing the unsatisfactory grade, it is considered acknowledged. The Report Card History serves as a record of the parent who viewed the report card and date on which it was viewed.
- When viewed/acknowledged by the parent, the Last Viewed column on the Report Card History page is automatically populated with the date-time stamp when the report card was opened.
- The Viewed by field is automatically populated with the email address of the parent who viewed the report card.
- Additionally, the Student Data > Other > Portal Usage Log can be viewed for the Report Card History page to determine if parents have visited the page.
- Query can be used to view the status of acknowledgments: LIST STU RCH STU.NM RCH.UG RCH.LVD RCH.LVE IF RCH.UG = 1
The same information appears in the Parent portal when viewing Report Card History for a student.
Report Card History on Mobile App ↑
Parents and students can access the report card history as PDF files from the Mobile Portal App.
- From the Report Cards area, click More.
- Links to PDF files are available allowing parents and students to download each report card.
