Overview  

The class ranking for graduating seniors may occur outside the end of a semester, such as the end of the fourth and fifth weeks or third quarter grade reporting marks. The Prepare Senior Preliminary GPA and Class Rank page contains the steps needed to review multiple grade reporting marks and transcript data for seniors on one page, allows course repeat tags to be added, and the ability to compute GPA and Class Ranks based on this data for each school.
NOTE: The Senior Preliminary GPA and Class Rank is a feature that needs to be turned on in the database through an internal Feature Flag before it is available. Please see the Configurations section below for more information

NOTE: The Senior Preliminary GPA and Class Rank is a feature that needs to be turned on in the database through an internal Feature Flag before it is available. Once it is turned on the Prepare Senior Preliminary GPA and Class Rank page will become available. The Senior Preliminary GPA and Class Rank can be enabled by contacting Aeries Support for special instructions on using the hidden Feature Flags page.


  1. Before starting the Preliminary Senior GPA and Class Rank process, turn on the School Options at the district level under Other Settings > Do Not Recompute GPAs and Ranks Automatically by checking this option. This will allow the class rank & GPA's to remain static until you chose to re-compute.

  2. There must be at least one active Built-In or District GPA on the GPA Configurations page at the District. See https://support.aeries.com/support/solutions/articles/14000124249-gpa-configurations-page


Tables  

The Senior Rank (SRK) table will contain all of the data necessary to compute GPA and class rank for all seniors. When you run the Prepare Senior Preliminary GPA and Class Rank > Copy Grades and Transcripts to Senior Rank function all data will be deleted from the SRK table for that school and replaced with the grade records (GRD) for the chosen grade reporting period(s) and all transcript data (HIS) for all students in grade 12.

Steps  

  1. Before proceeding, all grades must be posted and final for the grading marks selected.
  2. Review Attendance Based Grade Reporting and ensure credits are adjusted on the Grades page.
  3. Navigate to the Prepare Senior Preliminary GPA and Class Rank page. Click on the Initialize Senior Rank Table from Grades and Transcripts section.

    • Verify that the GPAs and Class Ranks will not be recomputed automatically. You will see the following green message indicating that this option is set correctly. If you do not see this message, See Configurations above.


    • Select the Grade Reporting Marks(s) to include in the GPA and class rank calculations.
      Select multiple grade marks by holding the CTRL button while clicking on each grade reporting mark.

    • Check the Include Inactive Students box and then the status tag(s) to include inactive students. Some districts include Early Graduates in their Senior GPA and Class Rank calculations.

      Note:  Only the GPA's that include those inactive statuses in the Student Statuses to Include section of the District GPAs page will be calculated and ranked.

    • Click on the Copy Grades and Transcripts to Senior Rank button.
      This will delete any records in the SRK table for this school and insert the selected grade records (GRD) and all transcript (HIS) records for students in grade 12.

  4. When the process has completed, click on the Review Student Records section.

    All of the information that will be used to calculate the GPA and Class Rank will be shown on this page.

    • Add any necessary repeat tags for courses for the grade reporting marks.  
      • Removing the repeat tag will restore the credits attempted (Atmp) or completed (Comp) from the Grades page when possible, otherwise it will use the default credits from the Courses page.
      • Removing the repeat tag will not restore the Average Mark links. You will need to re-initialize the Senior Rank Table.
    • There is no Save button. These settings are saved automatically.

      NOTES: 
      All existing transcript records are displayed as read only on this page.

      The repeat tag data will NOT be transferred to the student's transcript. You will need to add the repeat tags for these courses on their transcript once the grades have been transferred to the transcript at the end of the semester.

      Any student courses where the student did not earn credit due to attendance will be included in the GPA calculation by default. If your district policy does NOT include these courses in the GPA calculation, assign repeat tag 5 or the repeat tag that matches your district policy.

      You may re-initialize the Senior Rank Table at anytime to delete all records for that school and start with new data.
  5. Select the Finalize GPA and Class Rank section



    • Recompute Senior Cumulative GPAs and Class Rank
      • All active District GPAs will display on the page and will be recalculated and stored in the GPA table.  Each District GPA will have class rank (GPA.CR) and class size (GPA.CS) fields.

      • Click Recompute GPAs and Class Rank. Once the process is complete, verify that the calculations are correct by selecting some test students. For example, review data for the top ten students.

      • The Class Rank should NOT be selected to lock the first time this is run and only selected after the rank calculations have been verified and accepted.

        If there are any concerns with the calculations, submit a FreshDesk ticket.

    • Lock Class Rank.  Once the data is verified and accepted:
      • Lock the class ranks for the appropriate student cohorts and GPAs.
      • There is no Save button. These settings are saved automatically.

        NOTE: This will lock the Class Rank on the students' Transcript.

  6. Select the Reports section
    • Select the Honor Roll and Class Rank Listing from Senior Preliminary GPA and Ranking report.
    • Select the report options and Run Report button.
  7. (Optional) Return to School Options (district level) and uncheck the Do Not Recompute GPAs and Ranks Automatically.

  8. Run the final semester GPA process normally (as you did for Semester 1).
