Adding or Editing Codes

And and Or Conditions


Certified Teacher counts are not being collected in the 2023-24 CRDC administration. The Certified Teachers tab has been closed and a message has been added to the tab indicating that this information will not be collected.

If the Certified Teachers tab is opened, no options will be available.

Any existing District Options (DPT) records for the CRDC Certified Teacher settings will remain in the database, but these options are not used for 2023-24 CRDC reporting. 



Other Codes  

Many of the codes below the Other Codes header are programmed to acquire default values based on the state reporting Code Translations file (i.e., Cross Reference Information (XRF) table)  or the specific tables, fields and code values designed to hold the requested data. CRDC Code Types that were already mapped to Aeries codes prior to the 12/16/2021 update will remain unchanged. Only the unmapped codes will display the default values.


In the below example none of the Student Discipline codes had been set up. The first time the Cert. Teachers & Codes tab is opened the Student Discipline area has many expulsion and suspension CRDC Code Types defined with the values mapped from the CALPADS Code Translations for Discipline Action Taken (Disposition) (DSP.DS), the Assertive Discipline Instructional Support Indicator (ADS.ISI), or the Assertive Discipline Law Enforcement Notified (ADS.LNF) tables and fields.

In the below example none of the Student Discipline codes had been set up. The first time the Cert. Teachers & Codes tab is opened the Student Discipline area has many expulsion and suspension CRDC Code Types defined with the values mapped from the Texas State Reporting Code Translations for Discipline Action Taken (Disposition) (DSP.DS), the Assertive Discipline Instructional Support Indicator (ADS.ISI), or the Assertive Discipline Law Enforcement Notified (ADS.LNF) tables and fields.




The Harassment or Bullying area defaults to the Victims (VIC) table and fields.

The International Baccalaureate Courses are determined by the Course Level (CRS.CL) field, and the SAT/ACT and AP Exam results are stored in the College Test Scores (CTS) table.

Adding or Editing Codes  

All of the codes under the Other Codes header can be updated to capture the most accurate counts for the district.  To add or edit an Aeries code set click on the Edit icon next to the CRDC Code Type.

Use the dropdowns to select the Aeries table and field that hold the information for the particular CRDC Code type. If you are familiar with the table and field names used in Query you can type the information into each dropdown and press the TAB key to move to the next one.

NOTE: The Other Codes page is very complex. Pausing momentarily between the Table, Field and Code will give the system time to populate the dropdowns with the available values.
If the page is extremely slow you can try these steps to help in performance: exit Aeries, close all open browser tabs except one, clear browsing data, log into Aeries and continue to update the Cert. Teachers & Codes.



Multiple Code values can be selected for a single code. When multiple codes are selected for a table and field the system will look for at least one of these values to include the student in the count.




If a code value is selected by accident it can be removed by clicking on the X.




And and Or Conditions  

Some CRDC elements need to have two or more Aeries tables and fields analyzed. Most of these elements are also defined in the CALPADS Translation file. To streamline data entry the And and Or options have been removed from almost all elements and Aeries is using either the CALPADS Translation, prior CRDC element values, or common data practices to set up default values for the And/Or conditions. The exceptions are Possession of a Firearm or Explosive Device and the Disciplined for Harassment or Bullying elements which do allow customers to include the And/Or conditions.


Below is a list of the data elements that include And/Or conditions, the portions of the element that can be updated, and the portions that are defaulted:



Expulsion with educational services and Expulsion without educational services

Can only edit the table, field and code(s) that indicate the record is an expulsion record.
NOTE: If the Expulsion element is updated the changes will cascade to the Expulsion without educational services element.


These two CRDC elements are populated through values stored in the state reporting Code Translations or any changes made to the Expulsion element. Upon Save any changes made to the Expulsion element will cascade the expulsion values to the Expulsion with educational services and Expulsion without educational services. In the below example the Expulsion element was modified to include Saturday Detention. Upon saving the change to Expulsion, the Expulsion with educational services and Expulsion without educational services were also updated to include the new code.



In Edit mode for either the Expulsion with educational services or the Expulsion without educational services the user can define the table, field and value(s) that indicates the expulsion event if it is different than what is defined in the state reporting Code Translations. The And condition cannot be changed. By default the Instructional Support Indicator (ADS.ISI) field must be used to identify the records "with educational services" and "without educational services". 



Transfer to Alternative School

Expulsion Disposition (DSP.DS) defaults to 'EXP'

This element is populated through values stored in the CALPADS Exit Reason translations to identify the Transfer to Alternative School values, the Disposition Expulsion code (DSP.DS) must be 'EXP', and the Instructional Service Indicator (ADS.ISI) must be 'Y'.


In Edit mode the user can define the table, field and value(s) that indicates that the student was Transferred to an Alternative School if it is different than what is defined in the CALPADS Translation. The And condition cannot be changed. By default the student must also have an expulsion record (DSP.DS = 'EXP') and the Instructional Service Indicator (ADS.ISI = 'Y') must be set to "with educational services". 




Offenses With or Without a Weapon

These elements are initially empty. Users will need to Edit the records to add the offense codes for each area (Physical attack, Robbery and Threat of physical attack). Upon saving the record the And conditions for the Without weapon or With weapon will be populated by the system. 



To determine the values for the Without a weapon the system compares the Code (COD) table for the Weapon Type (ADS.WT) values against the CALPADS Weapon Type translations. Any ADS.WT code that is not mapped to a Weapon Type in the CALPADS translation will be considered as not being a weapon. Also, the blank (no value) will also be counted as not being a weapon.


The system uses the CALPADS Weapon Type translations to determine the Weapon Type codes that are counted as With a weapon.



Possession of a Firearm or Explosive Device

NOTE: If the offense code is generic (possession of a weapon), then the And  condition will need to be added to include an additional table and field such as Weapon Type (ADS.WT) to narrow the offense to only weapons that are considered a firearm or explosive device.


This element is initially empty. Users will need to Edit the record to add the offense code (ADS.CD) to indicate the possession of a weapon. If the Possession of a Weapon Assertive Discipline Code(s) do not indicate that the weapon is a firearm or explosive device, then the And condition will need to be used to add a secondary field, such as the Weapon Type (ADS.WT) or a User field (ADS.U#), that will need to be populated with codes for types of weapons to ensure only the firearm and explosive device weapons are included in the count.


In the below example the AND condition is used to include the Weapon Type (ADS.WT) field when determining if the Possession of a Weapon incident included a firearm or explosive device.




Disciplined for Harassment or Bullying

Disciplined for Harassment - RaceN/AEdit the record to add the table, field and code values that indicate that the offense was a Harassment on the basis of another's race.

NOTE: If the Harassment Assertive Discipline Code(s) are not separated by type of harassment, then the And condition will need to be used to add a secondary field, such as the Possible Motivation (ADS.PM) or a User field (ADS.U#), that will need to be populated with codes for Disability, Race and Sex to collect the counts for each type of harassment discipline occurrence.
Disciplined for Harassment - SexN/AEdit the record to add the table, field and code values that indicate that the offense was a Harassment on the basis of another's sex.

NOTE: If the Harassment Assertive Discipline Code(s) are not separated by type of harassment, then the And condition will need to be used to add a secondary field, such as the Possible Motivation (ADS.PM) or a User field (ADS.U#), that will need to be populated with codes for Disability, Race and Sex to collect the counts for each type of harassment discipline occurrence.


These elements are initially empty. Users will need to Edit the records to add the offense codes (ADS.CD) for each area (Disciplined for Harassment on the basis of Disability, Race and Sex). If the Harassment Assertive Discipline Code(s) are not unique by type of harassment, then the And condition will need to be used to add a secondary field, such as the Possible Motivation (ADS.PM) or a User field (ADS.U#), that will need to be populated with codes for Disability, Race and Sex to collect the counts for each type of harassment discipline occurrence.


In the below example the User 2 (ADS.U2) field has been set up to define if the harassment occurred because of a student's Disability, Race or Sex. After entering the ADS.CD values, click the And button.



Clicking on the AND button brings up another Table, Field and Code set that can be populated with additional criteria. Enter the additional criteria and click on the Save icon to save the changes




To remove an AND condition from a CRDC Code Type click on the Edit icon to edit the record, and then click on the Delete icon next to the additional condition



Harassment or Bullying

These CRDC elements are automatically populated based on Aeries default Code (COD) values for the Victims (VIC) table and recommended data practices.  Each element is comprised of two parts; the codes that indicate that the student was a victim of Harassment or Bullying (VIC.TY), and the fields that indicate the basis of the harassment or bullying (VIC.BD, VIC.BR, VIC.BB, VIC.BS or VIC.BO). The Victims (VIC) table must be used to determine the counts for these CRDC elements.


In Edit mode the user can include additional custom values that signify Harassment or Bullying in their system. The And condition will be automatically populated depending on the CRDC element.

NOTE:  The Victims (VIC) table must be used to determine the counts for these CRDC elements.

These CRDC elements are automatically populated based on Aeries default Code (COD) values for the Victims (VIC) table and recommended data practices.  Each element is comprised of three parts; the codes that indicate that the student was a victim of Harassment or Bullying (VIC.TY), the field that indicates the basis of the harassment or bullying was religion (VIC.BB), and the Fixed code that indicates the type of religion (VIC.RT). The Victims (VIC) table must be used to determine the counts for these CRDC elements.


In Edit mode the user can include additional custom values that signify Harassment or Bullying in their system. The And conditions will be automatically populated depending on the CRDC element.




After all CRDC Code Type mappings have been reviewed/updated click on the Next button to go to the Results tab.
