To download the ELPAC or IELPAC student results the LEA ELPAC Coordinator must first log into TOMS from the ELPAC Website. 



To download the Initial ELPAC (IELPAC) student score data file 

Click on Reports in the top menu.

Click on Initial ELPAC Reports in the submenu.

Select the Initial ELPAC Student Score Data Report from the Available Reports menu.

Select your district in the Organization box.

Select the Administration Year of the test results.

Select the Report Type.

Click on the Request New Report button.




Select the Download button when the data file is ready.



The Initial ELPAC Student Score Results will be an Excel file. Save the file to a location that you can navigate to later. Prior to importing the data file into Aeries it will need to be converted to a .CSV file by opening the file in Excel and saving it as a .CSV file. Please see the Test Specific Information - Initial ELPAC article for more information.







To download the "Summative" ELPAC student score data file

Click on Reports in the menu

Select LEA Reports

Select the Summative Student Score Data Extract Report from the list of Available Reports menu.

Select your district in the Organization box.

Select the Administration Year of the test results.

Select the Report Type.

Select the Start Date and End Date that would include student scores. Keep in mind that the dates should fall within the testing window for the selected Administration Year.

Click on the Request New Report button.






Once the data file has been requested, the following page opens and you can Download the data file.



The download produces a zipped folder with the LEA number as the name. The zipped file includes two data files. One is a .DAT file and the other a caret delimited .CSV file. Extract the files to a location that you can navigate to later to import the Summative ELPAC Student results into Aeries.




NOTE: The reports found in the Online Reporting System are not in the correct format. Only LEA ELPAC Coordinator has the necessary permissions to download the ELPAC Student Score Data extract files in TOMS.



NOTE: Different test administrations may be available for download. Updated student score files in TOMS can be re-imported into Aeries. Re-importing the test scores will not produce duplicate records as long as the test id, test part, test date and student ID are the same. If the “rescored”  test records have the same test date then they will overwrite the existing testing records with the new scores. If the “rescored” test records have a new test date, then the import process will create new testing records. It is always a good practice to import an updated score file in a sandbox database first to see if it will cause any duplicate test records.
