There are report options available that provide enrollment breakdowns based on student enrollment for a given date. These reports are based on CALPADS enrollment reports. The Print Student Counts (Census Day) Report is available to California districts and can be found while logged into the School or the District. Census Day is the first Wednesday in October. If a Keep/Skip query is active, only the kept students are counted. Each time a report is run, the Query Tag (STU.QT) of every student counted is set to X, so the counted students can be listed with a query. 


NOTE: It is important to verify the CALPADS cross reference before running the report.


The Print Student Counts (Census Day) report options include five Student Count (Census Day) reports: Grade and Ethnicity/Race, Grade and Subgroup, Reporting Language and Grade, Graduates and Dropouts, or NSLP/EL. The Honor Reporting Home School? option is available for all five reports and is selected by default. When selected, students are counted at their reporting home school if one is designated. 


Student Counts (Census Day) Report options



On the report option page select the by Grade and Ethnicity Race option. Enter the Enrollment Date for the report and select the schools to be included in the report. If the entered Enrollment Date is the date of Census Day, an additional option to Update STU.CIC (Counted in Census Day)? will display. If selected, the STU.CIC field is first cleared for all students at each selected school, and then set to Y for the students counted on the report. 


The Group by Grade? option will group the totals by grade level for each school selected. If the option is not selected, school totals will be provided. Below is an example of the Print Student Counts By Grade and Race/Ethnicity (Census Day) report with the Group by Grade? option selected.


Student Counts Report by Grade and Ethnicity


  • Total Enrolled – Total count of students with a current-year enrollment record at the school that is active on the reporting date. Enrollment records with an attendance program code translated to CALPADS enrollment status 20 or 40 are not counted.

  • Hispanic – Total count of students where Ethnicity field (STU.ETH) is Yes, Hispanic or Latino. If a student’s STU.ETH = Y then they will only be counted in the Hispanic column even if they have values in the Race fields (STU.RC1 – RC5).

  • Amer Indian/Alaskan Native – Total count of students with Race = 100

  • Asian - Total count of students with Race = 201 - 299 

  • Filipino - Total count of students with Race = 400 

  • Black/African American - Total count of students with Race = 600

  • Hawaiian/Pacific Islander - Total count of students with Race = 301 - 399

  • White - Total count of students with Race = 700

  • Multiple – Total count of students with values in multiple Race fields (STU.RC1– STU.RC5). If all of a student’s race codes fall within the same group (for example, all Asian codes 201-299), the student is counted in that group instead of Multiple.

  • Missing – Total count of students not in the previous columns. Note – this includes invalid and missing Race/Ethnicity values.


On the report option page select the Grade and Subgroup report. Enter the Enrollment Date for the report and select the schools to be included in the report. If the entered Enrollment Date is the date of Census Day, an additional option to Update STU.CIC (Counted in Census Day)? will display. If selected, the STU.CIC field is first cleared for all students at each selected school, and then set to Y for the students counted on the report. 


The Group by Grade? option will group the totals by grade level for each school selected. If the option is not selected, school totals will be provided. Below is an example of the Print Student Counts By Grade and Subgroup (Census Day) report with the Group by Grade? option selected. The Count English Learners as of Report Date option is selected by default. When selected, it counts the English Learners whose EL Start Date (LAC.SD) is before or on the Enrollment Date entered on the report options. English Learners with no EL Start Date are still counted. 

 

Student Counts Report by Grade and Subgroup


  • Total Enrolled - Total count of students active on the report Enrollment date

  • English Learners – Student’s Language Fluency (STU.LF) = English Learners and students flagged as RFEP with a Language Redesignation Date (LAC.RD1) after the report Enrollment date

  • Title III Eligible Immigrants – Total count of students with the following conditions

    • Birth Country (STU.BCU) is not US or Puerto Rico

    • And either of the following:

      • US School Entry Date (LAC.USS) within 3 years of the report Enrollment date

      • Secondary Student Data US School < 3 years field (SSD.SUS) = Y

  • Gifted and Talented Education - Total count of students with an active GATE record on the report Enrollment date. The GATE record (GTE) is checked first, using the Gate Eligibility date (GTE.ESD), or the Gate Participation date (GTE.PSD) if there is no eligibility date. If the student has no GATE record, a Programs record with code (PGM.CD) 127 is checked the same way, using PGM.ESD or PGM.PSD.

  • Transitional Kindergarten - Total count of students in grade TK (-1) with an active Programs record with code 185 on the report Enrollment date.

  • Title I Part C Migrant – Total count of students

    • Programs code (PGM.CD) of 135 and dates in Program Eligibility (PGM.ESD) or Program Participation (PGM.PSD) fields on the report Enrollment date.

       

  • Special Education – Special Education Participation date (CSE.ED) on or before the report Enrollment date, and a blank Special Education exit date (CSE.XD) or one on or after the report Enrollment date.

  • LEP (EL + Selected RFEP) – Total count of students with the following conditions:

    • Student’s Language Fluency (STU.LF) = English Learners and students flagged as R-FEP with a Language Redesignation Date (LAC.RD1) after the report Enrollment date Or

    • Student’s Language Fluency (STU.LF) = R-FEP and

      Students English Language Proficiency (LAC.ELP) = N

  • Socio-Economically Disadvantaged – Total count of students with any of the following:

    • Free and Reduced (FRE.CD) code translated to F or R in the CALPADS cross reference, with no dates or with eligibility or participation dates that include the report Enrollment date

    • Parent Education is “Not HS Graduate” STU.PED code translated to "14" (Not HS Graduate) in the CALPADS cross reference

    • An active Homeless (191) or Foster (190) Programs record on the report Enrollment date


On the report option page select the Reporting Language and Grade option. Enter the Enrollment Date for the report and select the schools to be included in the report.  If the entered Enrollment Date is the date of Census Day, an additional option to Update STU.CIC (Counted in Census Day)? will display. If selected, the STU.CIC field is first cleared for all students at each selected school, and then set to Y for the students counted on the report.


Selecting the Honor Reporting Home School option will look at the reporting home school designated for the student if that information is available. 


Two additional option sets will display to allow identifying codes that fall under the EL category or codes to be identified as FEP (RFEP or IFEP). Select codes to identify students that fall into these categories for the report. A code selected in one list is not available in the other. Students whose Language Fluency code is not selected in either list are counted as OTH (Other).


The report counts students by Reporting Language (STU.HL) and grade, from PS through grade 12. Students in grades above 12, and inactive students with no leave date, are not counted. The Group by Grade? option is not available for this report.

On the report option page select the Graduates and Dropouts option. Enter the Enrollment Date for the report and select the schools to be included in the report. If the entered Enrollment Date is the date of Census Day, an additional option to Update STU.CIC (Counted in Census Day)? will display. If selected, the STU.CIC field is first cleared for all students at each selected school, and then set to Y for the students counted on the report. 

Selecting the Group by Grade option will display the totals by grade level. Selecting the Honor Reporting Home School option will look at the reporting home school designated for the student if that information is available.


  • Graduates - Students with a High School Graduation code (STU.HSG) translated in the CALPADS cross reference to 100, 106, 108, or 250. The Enrollment Date is not used for graduates.
  • Dropouts - Students enrolled on the Enrollment Date whose exit reason (End of Year status STU.EOY, otherwise STU.SWR, otherwise the enrollment exit reason ENR.ER) is translated in the CALPADS cross reference to E140, E300, E400, T270, T380, or T460.
  • Inactive students are included in this report.

This report is only available at the District level. On the report option page select the NSLP/EL option. Enter the Enrollment Date for the report and select the schools to be included in the report. If the entered Enrollment Date is the date of Census Day, an additional option to Update STU.CIC (Counted in Census Day)? will display. If selected, the STU.CIC field is first cleared for all students at each selected school, and then set to Y for the students counted on the report. Selecting the Group by Grade option will display the totals by grade level, or select Group by Grade Range? to display totals for PS-TK, K-3, 4-6, 7-8, and 9-12. Selecting the Honor Reporting Home School option will look at the reporting home school designated for the student if that information is available. The report shows Total Enrolled, FRPM Pupil Count, English Learner Pupil Count, and the Unduplicated EL & FRPM Count.
