California Information
The Home Language Survey questions asked in Aeries Online Enrollment include the four standard questions set forth by the California Department of Education as shown in their sample letter.
On the Student Import page, prior to running the import process, the answers to these questions can be reviewed as part of the import process.
If a user makes changes to any of the language fields, a warning message displays to confirm if the change is intentional.
For example, The "First" language has been changed to Spanish, the warning confirmation message displays. If the user selects the Yes button, the updated language is saved. If the user selects the No button, the language will revert to the original language that was previously displayed.
Clicking on the No button will trigger the warning each time any of the language fields are changed. If the Yes button is clicked with any language field change, the warning message will not display for any subsequent change to any of the other language fields.
NOTE: Changing any of the languages and then importing the record will invalidate the parent electronic signature from Online Enrollment. The home language survey answers will display on the Language Assessment page in Aeries but will not display a parent electronic signature.
When the student gets imported into Aeries, those answers get stored into the fields on the Language Assessment page (LAC.L1, LAC.L2, LAC.L3, LAC.L4). The Survey Completed Date is populated based on the date the Online Enrollment record was completed and the Source field is populated with OE which indicates the survey completion method. A digital signature is displayed under the language fields with the parent account name and email that completed the Online Enrollment registration. Saving changes to any of the language codes, the Survey Completed Date, or the Source will invalidate the signature and remove it from the page.
As an additional field, separate from the home language survey questions, the student’s Reporting Language (formerly called Home Language) is stored in the STU.HL field. This field is pre-populated at the time the student is imported, however, the registrar or person importing the student may change this value during the import process.
Currently, the Reporting Language value is pre-populated based on responses the parent gave to the home language survey questions. If any of the first three languages are not English, the Home Language will default to the most prevalent of the collected languages. In the event that all non-English languages collected differ, the suggested default will be the "by Adults" language as a tie-breaker. It is suggested that users verify that the reporting language is correct and change it if necessary before importing the student.

Note: The 3rd question is available to registrations starting with the 2024-25 registration process.
