Navigate to School Options > Imports and Exports > Civil Rights Data Collection > Schools tab


The Schools tab will allow you to select which schools are to be included in the Civil Rights calculations.  The majority of the schools will be checked to be included in the report by default. Inactive schools, schools tagged as do not report (DNR), or any summer schools will be unchecked and by default will not be included in the calculations. Click in the checkbox to the left of the school number to select or de-select any school from the calculations. The Default, All and None buttons in the header can also be used to quickly select or de-select schools.

To the right of the school name is a field for the NCES #.  The NCES number contains the 7-digit LEA ID number assigned to the District and the 5-digit SCH ID number assigned to each school when the LEA ID information was set up in the CRDC web site. The National Center for Education Statistics provides a Search Engine to look up the NCES numbers.  Links to the National Center for Education Statistics are available in the header and alongside each school.

NOTE: Virtual Schools - Virtual Schools will need to be selected, however the NCES # will not be populated. The system will use the virtual students' Reporting Home School (STU.HS and ENR.HS) to count the students in their respective non-virtual schools.


Clicking on the link in the header will open up a new page to the NCES School Search page.

Enter the search criteria. The state and the District or School Name may be sufficient in most cases. Click on the Search button. Click on the correct school in the NCES search results. The NCES School ID will be listed next to the School Name



Clicking on the Search icon next to the school in the Schools tab will attempt to populate the NCES School Search with the school name as it appears in Aeries.

If successful, the NCES School Search will display a list of possible matches. Click on the correct school in the NCES search results.


The NCES School ID will be listed next to the School Name. The NCES School ID is the 12-digit number that must be entered in the Schools tab of the Civil Rights Data Collection form for each school. The browser's copy/paste functions can be used to copy the NCES School ID into the NCES # field of the Schools tab.


The NCES School ID can also be hand-entered into the NCES # field on the Schools tab. The NCES # field must include 12 characters. If more than 12 characters are typed into the field only the first 12 will be saved. If less than 12 characters are typed into the field an error message will display during the Save or when moving away from that field and the value for that field will not be saved.


The NCES School ID is stored in the LOC.NDS field, but is only viewable/editable in the Civil Rights Data Collection > Schools tab.


Only the schools that are selected to run will be included in the Civil Rights calculations. In addition, the selected schools need to have a correct NCES # to correctly populate in the Civil Rights extract. 


After the Schools tab has been updated click on the Save button to save the changes. A green message will display with a count of how many schools were selected and saved. Click on the Next button to move on to the General Settings screen.
