Attendance is reconciled at the end of each attendance reporting month.  The attendance reports are verified and sent to the district office for ADA reporting (P1 and P2).  Aeries provides several reports to assist in the monthly attendance reconciliation process.  To ensure that attendance is accurately reported, the following practices are recommended:

  • Use the Attendance Management page to search for any unverified absences.  Unverified absences (All Day Code or Period Code) must be verified and reported as excused or unexcused.
  • If Electronic Signatureshave not been obtained by the district, each teacher must verify and sign a weekly attendance report confirming attendance submission.
  • Run the Attendance Audit Listing Report to address and resolve any possible attendance issues.
  • If using a master schedule and period attendance, run the Course Attendance Audit Report to address and resolve any possible attendance and enrollment issues with student scheduling (CAR).
  • If using a master schedule and period attendance, include any Single Period Absence Reports verifying attendance anomalies from the Period Absence Audit Report.
  • Verify any Independent Study Contracts.  
    • Confirm contracts are signed.
    • Confirm contracts are complete and student work is included.
    • Confirm the start and end dates on the contract match the dates entered on the student's attendance.Confirm the start and end dates on the contract match the program dates entered in Attendance Enrollment.
  • Run the Gain and Loss Report to verify new and withdrawn students.
    • Confirm the start and end dates on any student program changes (special education, concurrent enrollment, etc.) in Attendance Enrollment.
  • Run the Monthly Attendance Report.  This is a summary of each teacher's attendance by program for the attendance month.
  • Run the Monthly Attendance Summary Report.  This is a summary of grade and program totals for the attendance month.
  • Run the Attendance Notes Report for the date range of the attendance month and include any additional notes received to provide documentation of the verification process.  
  • After the district office verifies and applies the attendance totals towards ADA reporting, Lock the Attendance Month to ensure the integrity of the attendance data.  Summary reports are cumulative.  If a change is made in a prior attendance month, all subsequent attendance monthly reports must be rerun to update the year-to-date totals.
