The student's transcript, current classes and academic plan records are used to calculate the credits Completed, Current, Planned and Needed for each subject area on the College Entrance Requirements page. The college entrance requirements are recalculated for the student each time the page is opened and messages display regarding Course Completion and Entrance Requirements are updated.

It is very important that the UC Entrance and CSU Entrance fields on the Courses (CRS) page - California Specific Fields tab have been set up with the correct UC/CSU subject areas.

Changes to College Entrance Requirements for the Winter/Spring/Summer 2019-20 Terms and 2020-21 School Year  


For the 2019-20 Winter, Spring and the following Summer terms, and for the entire 2020-21 school year including the summer following the 2020-21 school year, the university systems are accepting "Credit/No Credit" or "Pass/Fail" grades in lieu of letter grades for all courses as a result of the Spring 2020 school closures and 2020-21 modified classroom settings. The Transcript Definition Terms tab is used to determine which records in the transcript (HIS) will be treated as courses taken during the 2019-20 Winter, Spring and following Summer terms. The terms mapped to State Term Codes H5, H6, Q4, S2, T3 and SS will be considered as being within this time frame.Transcript Definitions - Terms tab, State Term Codes dropdown


The College Entrance Requirements page, CSU Eligibility Reporand UC Eligibility Report have been updated to handle the calculation of credits for UC and CSU Eligibility to support the CR and P policy changes for this limited time period. A new option must be set by schools: "Does the School Year on HIS records change for the Summer following an academic year?"  This option will allow Aeries to determine which transcript (HIS) records to allow the issuance of credit as meeting A-G course completion for courses that receive a "Credit" or "Pass" grade instead of the usual  "A", "B" or "C" grades.


After updating to the 5/7/2020 or later Aeries Web update, the first person to access the College Entrance Requirements page at each school site will have the opportunity to set up the option "Does the School Year on HIS records change for the Summer following an academic year?" The response will be saved in the Options (OPT) table.

If the summer school following the regular school year keeps the same year, then this option should remain unchecked. In this case the 2019-20 Summer school records are considered to be part of the "Winter/Spring/Summer 2020" terms and will include the "Credit" and "Pass" course grades when calculating the A-G course completion requirements. 


If the summer school following the regular school year advances to the next year, then this option should be checked. In this case the 2020-21 Summer school records are considered to be part of the "Winter/Spring/Summer 2020" terms and will include the "Credit" and "Pass" course grades when calculating the A-G course completion requirements. 


The calculation of A-G credits on the College Entrance Requirements page and in the UC and CSU Eligibility Reports has also been modified to include the credits for A-G courses with a "Credit" or "Pass" grade if the "Credit" or "Pass" grade was given for the following time periods: 

  • Winter 2019-20
  • Spring 2019-20
  • Summer course following the 2019-20 regular school year
  • The entire 2020-21 school year including the Summer term following the 2020-21 school year


"Credit" and "Pass" grades for the Fall 2019-20 term or any other school year except noted above will not satisfy the A-G course completion requirements. 


The "Credit" and "Pass" grades are not included in the UC or CSU GPA calculations, only the "A" - "F" grades are used to calculate the GPA. 


In the below CSU Eligibility Report example, the student received "Credit/No Credit" and "Pass/Fail" grades for the Spring 2019-20 A-G course grades. In order to fulfill CSU A-G requirements a student must receive a grade of "C-" or better, or for the Winter/Spring/Summer 2020 terms a "Credit" or "Pass" grade. This student did receive a "C-" or better and a "CR" grade for the Spring 2019-20 term in the History subject area, so she completed all 20 credits for the History requirement. For English the student only received 4 grades with a "C-" or better, plus the Spring 2019-20 term with a "P" grade, so she completed 25 credits for the the English requirement. 


Notice that the "CR" and "P" grades are not included in the GPA calculation.

Changes to CSU A-G GPA Eligibility for 2020-21 Forward

The CSU temporary suspension of ACT/SAT examinations to determine eligibility for the Fall 2021 Prospective First Time First Year Students (i.e., 2020-21 High School Seniors) and for the Fall 2022 Prospective First Time First Year Students (i.e., 2021-22 High School Seniors) has become permanent for the 2022-23 school year forward. In addition an A-G GPA of 2.5 or above will be considered as a "qualifying" GPA. An A-G GPA between 2.00 and 2.49 may also be evaluated for admission based upon other factors. 


In Aeries for the 2020-21 school year and forward, students that have completed their A-G credit requirements and have a CSU A-G GPA of 2.5 or above will have the green Meets CSU Course Completion Requirements and Meets CSU Entrance Requirements statuses on the College Entrance Requirements page. Students that have completed their A-G credit requirements and have a CSU A-G GPA between 2.0 and 2.49 will have a green Meets CSU Course Completion Requirements status and a red May Meet CSU Requirements status.
