There are report options available that provide enrollment breakdowns based on student enrollment for a given date. These reports are based on CALPADS enrollment reports. The Print Student Counts (Census Day) Report can be found while logged into the School or the District. 


NOTE: It is important to verify the CALPADS cross reference before running the report.


The Print Student Counts (Census Day) report options include five Student Count (Census Day) reports: Grade and Ethnicity/Race, Grade and Subgroup, Reporting Language and Grade, Graduates and Dropouts, or NSLP/EL. 


Student Counts (Census Day) Report options



On the report option page select the by Grade and Ethnicity Race option. Enter the Enrollment Date for the report and select the schools to be included in the report. If the entered Enrollment Date is the date of Census Day, an additional option to Update STU.CIC (Counted in Census Day)? will display. If selected, this will update the STU.CIC field for the applicable students listed on the report. 


The Group by Grade? option will group the totals by grade level for each school selected. If the option is not selected, school totals will be provided. Below is an example of the Print Student Counts By Grade and Race/Ethnicity (Census Day) report with the Group by Grade? option selected.


Student Counts Report by Grade and Ethnicity


  • Total Enrolled – Total count of students active on the reporting date

  • Hispanic – Total count of students where Ethnicity field (STU.ETH) is Yes, Hispanic or Latino. If a student’s STU.ETH = Y then they will only be counted in the Hispanic column even if they have values in the Race fields (STU.RC1 – RC5).

  • Amer Indian/Alaskan Native – Total count of students with Race = 100

  • Asian - Total count of students with Race = 201 - 299 

  • Filipino - Total count of students with Race = 400 

  • Black/African American - Total count of students with Race = 600

  • Hawaiian/Pacific Islander - Total count of students with Race = 301 - 399

  • White - Total count of students with Race = 700

  • Multiple – Total count of students with values in multiple Race fields (STU.RC1– STU.RC5)

  • Missing – Total count of students not in the previous columns. Note – this includes invalid and missing Race/Ethnicity values.


On the report option page select the Grade and Subgroup report. Enter the Enrollment Date for the report and select the schools to be included in the report. If the entered Enrollment Date is the date of Census Day, an additional option to Update STU.CIC (Counted in Census Day)? will display. If selected, this will update the STU.CIC field for the applicable students listed on the report. 


The Group by Grade? option will group the totals by grade level for each school selected. If the option is not selected, school totals will be provided. Below is an example of the Print Student Counts By Grade and Subgroup (Census Day) report with the Group by Grade? option selected. The Count English Learners as of Report Date option when selected will count the English Learners whose EL Start Date (LAC.SD) is before or on the Enrollment Date entered on the report options. 

 

Student Counts Report by Grade and Subgroup


  • Total Enrolled - Total count of students active on the report Enrollment date

  • English Learners Student’s Language Fluency (STU.LF) = English Learners and students flagged as RFEP with a Language Redesignation Date (LAC.RD1) after the report Enrollment date

  • Title III Eligible Immigrants – Total count of students with the following conditions

    • Birth Country (STU.BCU) is not US or Puerto Rico

    • And either of the following:

      • US School Entry Date (LAC.USS) within 3 years of the report Enrollment date

      • Secondary Student Data US School < 3 years field (SSD.SUS) = Y

  • Gifted and Talented Education - Total count of students with either of the following conditions:

    • Programs code (PGM.CD) of 127 and Program Eligibility (PGM.ESD) or Program Participation (PGM.PSD) dates on the report Enrollment date.

    • Gate Eligibility (GTE.ESD) or Gate Participation dates (GTE.PSD) on the report Enrollment date.


  • Title I Part C Migrant – Total count of students

    • Programs code (PGM.CD) of 135 and dates in Program Eligibility (PGM.ESD) or Program Participation (PGM.PSD) fields on the report Enrollment date.

       

  • Special EducationSpecial Education Participation date (CSE.ED) on the report Enrollment date.

  • LEP (EL + Selected RFEP) – Total count of students with the following conditions:

    • Student’s Language Fluency (STU.LF) = English Learners and students flagged as R-FEP with a Language Redesignation Date (LAC.RD1) after the report Enrollment date Or

    • Student’s Language Fluency (STU.LF) = R-FEP and

      Students English Language Proficiency (LAC.ELP) = N

  • Socio-Economically Disadvantaged – Total count of students with any of the following:

    • Free and Reduced (FRE.CD) code = F or R and (no dates or (eligibility or participation on withdrawal date))

    • Parent Education is “Not HS Graduate” STU.PED = "14" (Not HS Graduate)


On the report option page select the Reporting Language and Grade option. Enter the Enrollment Date for the report and select the schools to be included in the report.  If the entered Enrollment Date is the date of Census Day, an additional option to Update STU.CIC (Counted in Census Day)? will display. If selected, this will update the STU.CIC field for the applicable students listed on the report.


Selecting the Honor Reporting Home School option will look at the reporting home school designated for the student if that information is available. 


Two additional option sets will display to allow identifying codes that fall under the EL category or codes to be identified as FEP (RFEP or IFEP). Select codes to identify students that fall into these categories for the report.

Selecting the Group by Grade option will display the totals by grade level. Selecting the Honor Reporting Home School option will look at the reporting home school designated for the student if that information is available.

This report is only available at the District level. On the report option page select the NSLP/EL option. Enter the Enrollment Date for the report and select the schools to be included in the report. If the entered Enrollment Date is the date of Census Day, an additional option to Update STU.CIC (Counted in Census Day)? will display. If selected, this will update the STU.CIC field for the applicable students listed on the report. Selecting the Group by Grade option will display the totals by grade level. Selecting the Honor Reporting Home School option will look at the reporting home school designated for the student if that information is available.
